This article addresses frequently asked questions about how information is gathered and submitted for Civil Rights Data Collection.

General

Why can't I see the current year's CRDC tools?

You must be on Campus.2443 or newer to access the 23–24 CRDC setup.

Where can I get CRDC training?

Free training is available in Campus Passport for all Campus Community/Passport users.

How can I see last year’s CRDC answers?

Campus does not store previous CRDC submissions. You must use your district’s saved copy of the flat file submitted to OCR.


Ad hoc

How do I pull data for a specific point in time?

Use date logic such as:

  • startDate <= [date]
  • endDate >= [date] or endDate = NULL
  • Logical expressions (e.g., 1 AND (2 OR 3))
  • Or filter by endYear = 2023 (adjust as needed)

Maintain Survey Results / Submission

Why am I getting an error about school numbers in my flat file?

SCH_ID must be 12 digits: NCES District ID (5 digits) + School NCES Number (7 digits).
If these fields are blank, Campus uses the State School Number, which may be too short.

Why do I get no results when generating CRDC results?

Possible reasons:

  • Not updated to Campus.2443
  • Incorrect Snapshot Date
  • Count date not near Oct 1
  • Mappings not updated or pushed

Why are no students showing as passed for a course?

Common causes:

  • Wrong grading task selected
  • Course split into multiple parts—use Advanced options to combine
  • Incorrect Advanced grading setup requiring multiple courses
  • Only posted transcript scores count; manual entries do not

Mapping

Why are some 504 students missing?

  • The flag start date is after the Snapshot Date
  • Students identified as IDEA are not counted as 504

Why are students missing from course mappings?

  • The student dropped before the course end date
  • The wrong count date was used

Can we exclude tracking-only schools from CRDC?

No. Schools can’t be hidden, but they won’t appear in the flat file when they have no generated results or they are not selected during flat file creation.

Can I hide schools from the School Preferences list?

No. Schools with active calendars always appear.

How do I get data that must be manually calculated?

Use:

  • Ad hoc filters
  • Campus internal reports
  • State reporting extract data (varies by state)

Why is Discipline manually calculated?

CRDC Discipline items are not auto-calculated. They are yes/no questions and overrides that must be answered using Ad hoc reports. See the CRDC Ad hoc Filters Example article.

How do we pull students identified by flags (EL, IDEA, 504, etc.)?

Create Ad hoc filters using the fields your district uses to mark those students.
