PATH: TN State Reporting > EIS Batch Transmission File
The 011 200 Day Event Calendar extract is used to upload calendar day event information to EIS for the District level calendar day events in the current school year. District calendars function as a template for school calendars, defining scheduled days and day types.
Districts are required to report district calendars for the next school year during the current school year. Because district calendars should be reported in this timeline, district-level calendars, those with a Type of D, display in the calendar selector in the extract editor regardless of whether calendars are filtered by Active.
See the EIS Batch Transmission article for an overview of the EIS Batch Transmission File, logic that applies to all extracts, and generation instructions.
Report Logic
During the date range of a district calendar, a record reports for each Day that has a Day Event. A record reports for each Day Event, even if there are multiple Day Events for a single day.
District calendars are designated with a Type of D (System Administration > Calendar > Calendar > Type). Records are not reported for calendars marked as Exclude. Calendars with a Number of null, 0, or greater than 2 digits are not reported and display in the warning report. If a record was previously reported and then marked as exclude, a delete record will be sent to EIS for each record.
The Record Key, which helps determine the Type of record sent (New, Edit, or Delete), is comprised of the Record ID, Record Version, District ID, School Year, Calendar Number, Event Date, and Event Type.
Calendar Setup
Campus recommends considering the following:
- Calendar names should be unique and easily distinguishable.
- District calendars must have a Type of D. Calendars must have a Number greater than 0.
- Durations must be entered as follows:
- 100 = 1 day
- 050 = 1/2 day
- 033 = 1/3 day
- Use the Print option on the Days tab to review and audit information.
- If districts add Day Events to calendar days, a value must be entered in the Day Event Inst. Minutes field to calculate Total Instructional Minutes correctly.
- Calendar dates constrain enrollment dates.
