The purpose of this data collection is to gather student suspension, expulsion, and arrest information as a form of disciplinary action. Bullying, gang related, and firearm data are also collected.

Expulsion & Suspension Report Editor

Data Submission

The Expulsion & Suspension Report collection period begins in early July and ends in early September.

Report Logic

  • Incidents only report if the incident status is Completed.
  • Students report when they are participants in a behavior incident with the behavior event date captured within the reporting period for one of the following scenarios:
    • Criminal Gang Related checkbox is marked on the Event Details.
    •   A Bullying event where the Event Type is mapped to one of the following State Event Codes.

  • The Arrest field is 1 or 2 on the Event Details.
  • A student will only report one record if they have a suspension and expulsion for a single incident. The only exception is for a student with multiple State Mapped Behavior Resolutions tied to the same Behavior Incident where the first Resolution is Code 1 and the second resolution is Code 2.
  • If there there are multiple suspension resolutions, the incident reports once for each resolution but uses the same incident number.
  • A Behavior Event appears in this report if the Resolution code is 1 (In-School Suspension), 2 (Out-of-School Suspension) or 3 (Expulsion).
  • If the resolution is 4 (Alternative to Expulsion), the behavior event is not included in this report.
  • When an event date falls after a student's enrollment end date, the event will report if the event date is on or within the report's date range.
  • If there are multiple resolutions, the incident reports once for each resolution but uses the same incident number.
  • Days which fall outside of the school year being reported are not included in the resolution length.
  • School level events and resolutions must be mapped to a state code in order to be reported. (Behavior > Admin > Event Types; Resolution Types > State Event/Resolution Code)
  • Students report as Special Education students if they are identified as Special Education at any time during their suspension or expulsion.
  • Students do not report if any of the following conditions exist:
    • The student's enrollment State Exclude field is checked.
    • Students enrolled in the grade level where the Grade Level's Exclude from state reporting field is checked.
    • Any students enrolled in a school where the Calendar's Exclude field is checked.

Report Editor Field Descriptions

Description

Start Date

The earliest date from which data is pulled for the report.

End Date

The latest date from which data is pulled for the report.

Ad Hoc Filter Select an Ad hoc Filter to limit the information reported to students within the selected filter.

Format

The format in which the report will generate. Options include HTML, Comma Separated and XML. HTML and XML  formats are used for data review and verification, while the CSV State Format should be used when submitting reports to the state.

Calendars

The calendar(s) from which data is pulled for the report. Can be set to display only the active year's calendars, or be sorted by school or by year.

Generating the Report

  1. Enter a Start Date in mmddyyyy format or by clicking the calendar icon.
  2. Enter an End Date in mmddyyyy format or by clicking the calendar icon.
  3. Select the Format in which the report should be generated.
  4. Select the Calendar(s) to be included in the report. Calendars can be sorted by active year, by school or by year.
  5. Select an Ad hoc Filter to limit the information reported to students within the selected filter.
  6. Click the  Generate  button.
    Result:
    The report displays in a separate window in the designated format.
Users have the option of submitting the report request to the batch queue by clicking Submit to Batch instead of Generate Extract. This process allows larger reports to generate in the background, without disrupting the use of Campus.   • If there are multiple Primary enrollments that have overlapping dates, reports the grade level set on the enrollment with the highest enrollmentID

Type of Suspension, Expulsion or Event

Code indicating type of behavior event resolution. See options in the Behavior Resolution Options table following.

If there is one or more suspension resolution for a student for a single event each suspension code reports with the corresponding dates as separate records.

If there is one or more suspension resolutions AND an expulsion for a student for a single event, 3 (Expulsion) reports.

If there is no qualifying State Resolution code for the student, 4 reports.

Beginning Expulsion or Suspension Date

First day of expulsion.

If the Type of Suspension, Expulsion or Event is 4, the Incident Date reports.

Otherwise, the Start date of the behavior resolution reports.

  • If there is one or more suspension resolution for a student for a single event, the start date for each suspension reports as separate records with the other data corresponding to that record.
  • If there is one or more suspension resolutions AND an expulsion for a student for a single event, the earliest start date from the resolutions reports.

Ending Expulsion or Suspension Date

Last day of expulsion.

If the Type of Suspension, Expulsion or Event is is 4, the Incident Date reports.

Otherwise, the End Date of the behavior resolution reports.

  • If there is one or more suspension resolutions for a student for a single even the end date for each suspension reports as separate records with the other data corresponding to that record.
  • If there is one or more suspension resolutions AND an expulsion for a student for a single event, the end date from the expulsion resolution reports.
  • If the Resolution End Date falls outside of the school year in which the Incident/Event falls, the calendar end date for the latest student enrollment in the selected calendar reports. For example, if a school year and summer school are selected, the student is enrolled in both, and the resolution end date is after the end date of both calendars, the latest end date of the calendar reports.

Length of Expulsion or Suspension

The total number of instructional days that the student was expelled, OR the total number of instructional days between the beginning date and ending date.

When the Duration in School Days field is a decimal value OR the calculated value is a decimal, then the reported value is rounded up. For example if the value was 7.25 then this field reports 8.

The "Duration in School Days" on the Behavior editor is considered first. When that field is NULL, the report looks at the calendar and instructional days in which the incident occurs and calculates the value in this field as the Resolution Start Date through the Resolution End Date. Instructional days that fall outside the school year in which the event occurs are not included.

If the Type of Suspension, Expulsion or Event is 4 (Alternative to Exp.), 000 reports.

Reason for Event

The Behavior Event that led to the resolution of expulsion or suspension.

Indicates if the student has an active IEP. Reports Y if a student had an active, locked IEP at any time during the Suspension or Expulsion period.

Interim Alternative Educational Setting

Indicates that the special ed student was referred to an interim alternative educational setting prior to suspension or expulsion.

If the Special Ed student is NOT assigned interim alternative education, this field reports N.

Indicates whether the student was involved in a Criminal Gang Related Event.

Arrest

Indicates whether the student was arrested on school property or off school property.

Arrests only report for students who also have an Arrest Reason Code.

  • 0 - No Arrests made
  • 1 - Arrests occurred ON School Property  
  • 2 - Arrests occurred OFF School Property

Arrest Reason Codes

Indicates the School Related Arrest Reason Code.

If the Arrest on the Behavior Event Details is 0: No Arrests made, 000 reports.

Otherwise, all Resolutions to the Event Participants are considered. If there is no resolution for the student or if the Arrest Reason is blank, 000 reports.

In all other scenarios, the value from the Arrest Reason reports.
